Purpose of job:
To provide exam delivery and administrative support services for a sector (i.e. Johannesburg office) of the British Council’s examinations business in South Africa. To support Examination Services in South Africa in delivering exams and to maintain them at the highest professional standards as set out in the British Council’s Quality Compliance Assessment (QCA) and by the relevant examination boards.
Accountabilities and responsibilities: (including management of exams activity delivery)
The Exams Assistant will be line managed by the Examinations Services Officer and will be required to perform the following duties:
Assist the Examinations Services Officer with the training, monitoring and management of Examinations Supervisor & Invigilators
Ensure that all administrative procedures are in full compliance with examination board regulations and QCA standards.
Work with the team to ensure that examinations are delivered securely and according to board requirements · Deliver a high quality customer service to candidates and exam boards.
Comply with and deliver on Quality Compliance Assessment (QCA) Standards and inspection visits from Examination Boards
Comply with all tenets of QCA, including local regulations as defined by the Country examinations Manager. · Ensure that all British Council standards are adhered to when managing finance matters related to procurement.
Booking venues and venue staff for examination sessions
Overseeing and accepting delivered examinations materials as well as check examination materials prior to exams commencing
Packing and returning scripts daily
Maintaining logs appropriately Answering all enquiries about tests and exams.
Delivering examinations on test days as part of the exams team which includes: Supervision of venue staff Ensuring adherence to test day procedures
Post-test administration of examinations
Shredding/disposal/despatch of examination materials while recording this in accordance with board standards and keeping accurate records of the movement of live materials
Effective delegation of duties in the event of absenteeism
Stock keeping of materials
Maintaining logs of examination papers and other related materials
Venue Staff Management
To monitor venue staff to board and QCA standards.
Create Purchase Orders and Goods Receipting on SAP Financial System
Preparing Payment Request Templates
Updating and filing payment documents
Other duties To discharge other centre-related duties and activities as directed by the Examinations Services Officer.
Internal: Customer Service Officer Johannesburg, Country Exams Manager, Examinations Services Manager, Examinations Operations Manager, Senior IELTS Administrator, Exam Officers in Johannesburg and Cape Town, Examinations Services Assistants (in Johannesburg and Cape Town) and Finance Officers
External: UK-based examination boards, venue Staff, enquirers, candidates, offsite venues, Exams Boards, UK Universities, Professional Bodies and local training providers
Other important features or requirements of the job (e.g. travel, unsocial/evening hours, restrictions on employment etc)
Some Examinations are held on Saturdays/Sundays/Public Holidays. The post holder will be present to ensure exam security & delivery. Overtime/TOIL should be agreed with line manager in advance to maintain an adequate work-life balance. The post holder may be required to travel abroad to administer/monitor examinations in different centres and should therefore hold valid travel documents.
