Team Assistant, Asia BBC Media Action

BBC Media Action is the BBC’s international development charity which uses of media and communications to tackle poverty and contribute to long-term change in some of the world’s poorest places. We do this through implementing governance, health and resilience projects in partnership with civil society, local media and governments.
BBC Media Action is largely funded by external grants, including from the UK’s Department for International Development (DFID), the European Union, UN agencies and charitable foundations. Our Asia team currently has offices in Afghanistan, Bangladesh, Burma, Cambodia, India and Nepal; projects in Pakistan and Indonesia.
Role Responsibility

As Team Assistant for our busy Asia regional team, you’ll provide excellent administrative, financial, logistical and production support to Asia projects and staff. Working with one other Team Assistant and reporting to a Project Manager, you will be the first point of contact for enquiries to the Asia team. Your duties will also be required to provide PA support to the Regional Director including travel booking, diary management and note-taking. You’ll be expected to obtain resources, including ordering and shipping production equipment and stationary for the Asia team both in London and country offices. Importantly, you’ll also coordinate both London based and international recruitment, sourcing job descriptions, arranging interviews and assisting with contracting consultants.
You’ll also provide administrative and project support to a number of countries in the Asia region. This includes the key function of accurately monitoring and updating staff and consultants movements throughout the region for security purposes.
The Ideal Candidate

You’ll bring a wealth of organisational and administrative skills from a busy and demanding office environment, including experience of working with staff in remote locations. You’ll have a proven track record of diary management and preparing meeting papers and taking minutes, in addition to this you’ll be expected to have dealt with financial information such as expenses or budgets. Supplementing this will be your experience of working in a fast paced and highly productive operational environment. Naturally, you’ll have outstanding communication skills and the ability to deal confidently with staff at all levels along with being able to prioritise work in order to meet deadlines and coordinate projects. Importantly, you will also show a strong interest in Asia.
You’ll have an understanding of international development and the media with an excellent knowledge of Microsoft packages including Outlook, Word, Excel and PowerPoint.
