  • Good secretarial / administrative experience at senior manager level within large/ similar size companies
  • Confident to communicate across a multi lingual, multi-cultural region where high communication skills are required.
  • Trustworthy with sensitive information
  • A good knowledge of the new BAT policies, SAPTE, Travel            Authorisation, SRM, and Records Management and ‘out of policy’ on flights, and the delivery of its application including decision making on savings offered on airline tickets.
  • IT literate: excellent keyboard skills and advanced skills in current versions of Word, PowerPoint, Excel, Lotus Notes. Good user knowledge of SRM / SAP.
  • Excellent written and verbal communication skills
  • Excellent organisation skills with the ability to anticipate requirements, prioritise own workload and set daily/weekly objectives and targets
  • Self-motivated and able to work quickly and accurately to tight deadlines
  • Ability to build effective relationships and work with people at all levels within the organisation

We have a great opportunity for an experienced and professional Executive Administrator to join and support our EEMEA team based at our headquarters in London.
As an EA you will provide reliable, efficient and secretarial day to day support to the Regional Heads of Function within EEMEA and the Regional Director when required.
Key accountabilities:

 

  • Provide a high level of administrative and organisational support to the Regional Heads of Marketing, CORA and Legal and their team members, using initiative and proactivity.
  • Anticipate and plan all travel needs of individuals based upon an understanding of functional responsibility and activities
  • Arrange complex travel / visit itineraries and visas for team members ensuring schedules are planned within time restraints, within budget and adhering to company policy
  • Plan own workload to anticipate and balance priorities, thus optimising output and contributing to the smooth running of the office
  • Provide an efficient office management service to the team, anticipating all administration service and technical requirements and liaising with other department i.e. IT and Facilities to ensure all needs are met
  • As Records Management Co-coordinator, attend all update meetings as a representative of the team to ensure all Records Management deadlines are met. Regular communications with the team to ensure they are compliant
  • Manage and organise quarterly Leadership meetings plus ad hoc conference and workshops.  Liaise with external suppliers and venues independently, coordinate agendas,  delegates admin requests, all confidential pre reads, Telepresence and Webexes to make sure all administration goes without any hitches.
  • Proactivity raise Purchase Order so invoices for goods and services are paid on time.
  • Process and submit expense claims for Grade 38+ (all other grades to be at discretion of Line Manager)
  • Manage and maintain daily, weekly and yearly schedules RLT members and the year Leadership Team calendars.  Prioritise and plan to ensure smooth running of their schedules.
