Job Description:

  • The successful candidate will be required to create a total administrative environment that will support the technical and marketing team in delivering services that consistently exceed Client’s expectations
  • Minimise error/risk margin, allow for prompt realisation of dues and promote excellent corporate governance culture.
  • He/She will also assist the Lead Consultant with market expansion efforts, interfacing the market and product development/enrichment.

Key Roles and Responsibilities:

  • Supervise cleaning and general tidiness of the office.
  • Monitor all jobs in progress to ensure timely completion
  • Provide back-up maintenance for company website and ensure timely update
  • Act as Secretary to operations and other meetings
  • Follow up on all mails received to ensure they are responded to within set time frames.
  • Manage personnel records and coordinate performance appraisal exercises
  • Pay salaries and ensure all statutory deductions (PAYE, VAT, WHT, Pensions) are remitted within the statutory time limit
  • Set up and maintain the corporate library
  • Ensure all fees (including those that are reimbursable) are collected promptly and difficult ones brought to the Lead Consultant’s attention on a weekly basis.
  • Prepare summary of time sheet and present utilisation analysis on a weekly basis
  • Keep up to date register of all company assets, supervise service maintenance to ensure they are kept in optimal working conditions, keep maintenance log records on each and ensure insurance cover.
  • Develop marketing communication materials and ensure a quarterly review of same.
  • Keep and update correspondent records of all pro-bono engagements.
  • Ensure all stationery needs are procured in good time and keep records of consumption
  • Initiate budget process and collate the annual budget
  • Ensure all Board papers are sent out not later than one week ahead of meeting date

Technical and Behavioural Competencies:

  • Ability to frame (or contribute to the creation of) a communications plan
  • Ability to facilitate communication across multiple work streams.
  • Ability to act as content manager for the web site and other digital platforms.
  • Ability to manage Social Media communication.
  • Excellent analytical skills and proficiency in written and spoken English.

Experience/ Qualification:
Degree educated from a recognised University, with a minimum of second class, in English, Law or any of the Social Sciences.
Preferably, minimum of 2 years working experience.
