Role Summary:

The Assistant, Office of the Executive Director (OED), has a key role in providing an outstanding efficient and professional service handling a wide range of highly sensitive issues under tight deadlines and high-pressure.

The Executive Director (ED), acting on the highest political level, requires the uppermost standard of professionalism, efficiency, inter-personal communication, and discretion.
As part of a Team that supports the day to day activities of the Executive Director, the incumbent will work in synergy with internal and external contacts under the guidance of the Chief of Staff and the Executive Assistant. Particular regard to the effective planning and preparation of the Executive Director’s internal engagements and calendar is a core element of the position through close collaboration with the Team. Full correspondence maintenance will also be a key function, including receiving, screening, tracking, drafting, responding and archiving.

Responsibilities:

The Assistant will:

Manage the Executive Director’s internal diary:
Coordination and management of the ED’s internal calendar;
Analysing, prioritizing, sorting and registering correspondence and other documentation received in the OED;
Working closely with the Governance Team in the setting up of Committee Meetings;
Provide routine follow-up actions required after travels, including general correspondence;
Prepare routine correspondence and replies related to the ED’s internal and external engagements and follow up on such correspondence.

Provide administrative support to the Chief of Staff as required.

Coordinate the information requirements for the ED ahead of internal engagements, and liaise with departments and internal focal points by:

Ensuring the timely delivery of relevant briefing notes, talking points, presentation/speeches and background information for internal engagements as required;

Following up with relevant or responsible staff for inputs as required.

In the absence of the Executive Assistant:

Manage the Executive Director’s e-mail correspondence (in-box), analysing and assessing the importance and priority status of issues, identifying sensitive material for specific treatment and auctioning/delegating as advised by the Executive Director;
Prepare routine replies for approval by the Executive Director and follow up on such correspondence;

Subject to change by the Executive Director at any time at his sole discretion.

Qualifications:

Essential:

University degree in a relevant field (Business Administration, Secretarial Studies)
Outstanding written English skills for full correspondence preparation, briefing notes, PPT presentations and other high level communications

Experience:

Essential:

Four to five years of work experience in a similar position in an international organization or private institution

Desirable:

Experience in managing an Executive’s Office for a multilateral organization will be an added advantage
Knowledge of the Global Fund and its policies, processes and governance structure

Competencies:

Languages:

An excellent knowledge of English and French. Knowledge of one of the following: Arabic, Chinese, Russian, and Spanish would be an asset.
