Title: Secretary
OBJECTIVES OF THE PROGRAMME :
To provide secretarial assistance to the Community-based Initiatives Unit.
Description of duties:
Under the direct supervision of the Regional Adviser/CBI and the overall guidance of the AO/ARD, the incumbent performs the following duties:
1- Provides full secretarial support to the unit including typing, drafting, photocopying & dispatching of outgoing correspondence.
2- Maintaining updated unit records, an effective filing system & updated calendar of events and contact lists.
3- Scheduling appointments of the RA/CBI & reminding on deadlines.
4 - Follows up on a daily basis on issues relating to the implementation of the programme area activities and ensures timely action is taken.
5 - Arranges for travel of the unit's professional staff. This includes issuance of travel authorizations, requesting travel itineraries, hotel reservations and obtaining security clearances, etc.
6 -Makes all necessary arrangements with respect to the unit's inter-country meetings. This includes issuance & dispatch of invitation letters, preparing meeting files, organizing travel of meeting participants, booking and set-up of conference room, etc.
7- Replaces other secretaries in the division when needed.
REQUIRED QUALIFICATIONS
Education:
Completion of secondary education supplemented by secretarial training.
Skills:
- English typing at the standard speed established by the Organization.
- Good knowledge of WHO rules, manuals and practices/procedures.
- God knowledge of modern office procedures and ability to operate PC. ICDL computer certificate or a computer certificate from a recognized computer center, certifying proficiency in Word, Excel and Power point is required from external applicants.
- Good organizational and communications skills.
- Good drafting skills.
- Ability to maintain good working relationships with national and international staff.
Experience:
At least three years secretarial/administrative experience.
Languages:
Very good knowledge of English and Arabic (written, spoken and reading). French is an asset. TOEFL Certificate of English language (local) with a score of more than 550, or TOEFL international certificate with a score of more than 60 (Computer based more than 213) or IELTS (of score more than 6) is required from external candidates.
